Wedding without a start time

Our couple John and Susan hired Events in a Crunch to be their Day of Coordinators. We reconnected with the couple 2 weeks before the wedding day after all their planning was complete. We used our passing the baton meeting focused on John and Susan's day of timeline and our next steps with their vendors to make sure everyone was where they needed to be on the wedding day. One thing left out of the debrief was the details already communicated to guests.

On the wedding day behind the scenes, our team greeted vendors and worked with them to place final decor. That's when the venue informed us that dozens of wedding guests had been calling in to know the ceremony start time. We looked to John and Susan’s day-of schedule and saw that we had 3 hours until the planned ceremony start time. We later learned the couple had apparently placed the ceremony time on their paper invites sent by mail but not on their wedding website. Whoops!

My Co-Coordinator and I quickly sprung into action to make sure guests knew when to arrive. Because our bride was deep in hair and makeup prep, we went to the groom’s den and asked him for access to the final guest list and email addresses. We quickly drafted a friendly email on our phones and sent a large group announcement to all wedding guests confirming the important wedding details; Event address with GPS drop pin, ceremony start time, and reception end time, then left our numbers at the bottom for people to call us with questions.

The venue's phones stopped ringing off the hook and by the time our bride walked down the aisle, guests were patiently waiting in their seats because they received our team's last-minute email update.

The schedule not being listed on their website caused lots of guest confusion on the wedding day.
